How we ranked them
We run cold email for B2B companies every day, so we judged these tools on the things that decide whether emails land and meetings get booked. Each tool was scored on six things:
- Pricing transparency: does the vendor publish plan prices, limits and what each plan includes?
- What it does best: the one job you'd buy it for, not the longest feature list.
- Deliverability and data quality: warmup, inbox rotation, email verification, bounce handling and whether extra mailboxes cost more.
- Integrations: CRM sync, API and webhooks.
- Ease of setup: free trial terms and how fast a small team can send its first sequence.
- Reviews: G2 star rating with the review count, because a 4.8 from 4,000 reviews tells you more than a 4.9 from 8.
Every price below comes from the vendor's own pricing page, checked on November 1, 2026. G2 ratings and counts move every week, so treat them as a snapshot. Where a vendor's page contradicts itself, we say so.

The 9 best cold email software tools
1. Instantly: unlimited inboxes and the most reviews in the category
Instantly is a cold email sender built around one idea: you connect as many inboxes as you want, warm them all up, and spread sending across them. Every Outreach plan includes unlimited email accounts and unlimited warmup. It also sells a B2B lead database (450M+ contacts, per the pricing page) through separate credit plans.
Pricing, from Instantly pricing: Growth is $47 a month ($37.60 billed yearly) for 1,000 uploaded contacts and 5,000 emails a month. Hypergrowth is $97 ($77.60 yearly) for 25,000 contacts and 125,000 emails. Light Speed is $358 ($286.30 yearly) for 100,000 contacts and 500,000 emails, and adds server and IP sharding. Enterprise is custom. Lead database credits are a separate subscription that also starts at $47 a month. The page says no credit card is needed to start, but doesn't give a trial length.
Best for: teams sending more than a few thousand emails a month across 10 or more inboxes. On Hypergrowth, 125,000 emails for $97 works out to about 78 cents per 1,000 sends, cheaper than Smartlead Pro ($94 for 90,000) or Saleshandy Pro ($99 for 100,000).
Watch-outs: the contact cap on Growth (1,000) is low for a real campaign, so most buyers end up on Hypergrowth. The bundles view on the same pricing page showed different numbers from the plan cards when we checked (Hypergrowth at $358 in one place, $97 in another), so confirm the plan in checkout. Mailboxes and domains themselves are not included; you buy those from Google, Microsoft or a reseller.
G2: 4.8 out of 5 from 4,163 reviews on Instantly on G2, with about 91% five-star.
2. Smartlead: unlimited mailboxes plus white-label for agencies
Smartlead competes head to head with Instantly on unlimited mailboxes and warmup, and pulls ahead for agencies. Each client can get its own workspace with your branding, and the higher plans bundle sending servers.
Pricing, from Smartlead pricing: Base is $39 a month ($32 yearly) for 2,000 contacts and 6,000 sends. Pro is $94 ($78 yearly) for 30,000 contacts and 90,000 sends. Unlimited Smart is $174 ($144 yearly) for unlimited contacts and 150,000 sends. Unlimited Prime is $379 ($315 yearly) for 500,000 sends, 3 client workspaces and 3 SmartServers. The FAQ says "All Smartlead plans include unlimited email accounts at no extra cost," there are no long-term contracts, and the free trial needs no credit card.
Best for: lead gen agencies and in-house teams running separate brands. White-label is a $29 monthly add-on per client workspace from Pro upward, so an agency with 5 clients on Pro pays $94 plus $145, or $239 a month.
Watch-outs: the pricing page lists warmup, API and webhooks, a dedicated manager and a private Slack channel, but doesn't show clearly which plan includes which. Its G2 rating is the lowest of the major senders here, and the review count is about a ninth of Instantly's.
G2: 4.5 out of 5 from 458 reviews on Smartlead on G2.
3. lemlist: email, LinkedIn, calls and WhatsApp in one sequence
lemlist started as a personalization tool for cold email and is now a multichannel platform. A single sequence can send an email, view a LinkedIn profile, send a connection request and queue a call. It includes a 650M+ lead database and an email and phone finder.
Pricing, from lemlist pricing: Email is $69 a month ($55 yearly) with unlimited users and senders and 50,000 emails a month. Multichannel is $109 ($87 yearly) and adds LinkedIn automation, SMS, a call dialer, 5 senders per user and unlimited messages. Enterprise is custom. Data enrichment is $20 a month for 2,000 credits, which the page translates to 400 emails or 100 phone numbers. The lemwarm warmup tool is included on every plan. The FAQ describes a 14-day trial, while a banner on the same page advertised a 30-day trial when we checked.
Best for: SDR teams whose best replies come from a mix of LinkedIn and email, and who want one inbox for both.
Watch-outs: the FAQ says "Pricing is based on the number of users" while the Email plan card says unlimited users, so ask how seats are billed before you sign. LinkedIn automation carries account risk on LinkedIn's side no matter which tool you use.
G2: 4.6 out of 5 from 2,570 reviews on lemlist on G2.
4. Saleshandy: a low-cost start with lead credits included
Saleshandy is a cold email sender with a built-in lead finder, email verification and an AI writing assistant. It is the simplest tool here for a founder or a one-person sales team to set up in an afternoon.
Pricing, from Saleshandy pricing: Starter is $41 a month or $34 billed yearly ($408 a year) for 2,000 active prospects, 6,000 emails, 10 email accounts and 1,500 lead finder credits a month. Pro is $99 or $76 yearly for 30,000 prospects, 100,000 emails, 10 users and 100 email accounts. Scale is $189 or $149 yearly for 200,000 emails, 1,000 accounts and unlimited users. All plans include unlimited warmup and a 7-day free trial.
Best for: small teams that want sending and prospect data from one bill. Starter's 1,500 lead finder credits a month mean you can build a first list without paying a separate data vendor.
Watch-outs: the trial is 7 days, the shortest here. The pricing page also says unlimited email accounts in one section while the sender rotation table caps accounts at 10, 100 and 1,000 by plan, so ask which applies before you connect a large fleet.
G2: 4.6 out of 5 from 824 reviews on Saleshandy on G2.
5. EmailBison: dedicated sending infrastructure for high-volume agencies
EmailBison is a cold email sequencer that runs your sending on single-tenant infrastructure. Its homepage describes "single tenant clusters" that keep you away from "noisy neighbors" and sending "isolated with your own IP pools." Agencies get unlimited workspaces to separate clients, campaigns and sending infrastructure. It has full API access, webhooks and native integrations with Clay, HubSpot, Salesforce, n8n and make.com, plus built-in warmup.
Pricing, from EmailBison pricing: one Base Plan at $599 a month for 500,000 emails, with unlimited leads, workspaces and teammates (no per-seat fees), dedicated IPs, API access and a private Slack channel with 1:1 onboarding and migration help. Extra sending volume is sold in monthly buckets, but the page doesn't price them. No yearly price, free trial or contract term is listed; the only call to action is "Book a demo."
Best for: agencies and GTM teams already sending hundreds of thousands of emails a month, who want their reputation separated from other customers on a shared sending pool.
Watch-outs: it costs more for the same volume. Instantly Light Speed ($358) and Smartlead Unlimited Prime ($379) also cover 500,000 emails a month, so you're paying about $220 to $240 extra a month for the dedicated infrastructure. Below a few hundred thousand sends it's hard to justify. The site talks about connecting multiple inboxes per workspace but doesn't publish an inbox cap or an "unlimited inboxes" promise, so ask. You can't try it before a demo.
G2: we found no EmailBison profile on G2, so there is no independent review count to check.
6. Reply.io: multichannel sequences with an AI SDR option
Reply.io is a sales engagement platform that covers email, LinkedIn and calls, and sells an AI SDR product that runs prospecting and replies for you. It sits closer to Outreach and Salesloft than to the pure senders above.
Pricing: we could not verify it. Reply.io pricing blocked our checker on November 1, 2026. Its help center limits page confirms that volume plans are billed by active contacts per month, that the included mailbox count scales with your contact tier, and that follow-ups to a contact already counted that month are free. Third-party trackers report an entry price around $49 per user a month billed yearly, but check the live page before you budget.
Best for: teams that want email, LinkedIn and calling under one contract and may later try an AI SDR on part of the pipeline.
Watch-outs: pricing is tied to users and to active contacts, so a 5-rep team reaching 10,000 people a month will pay very differently from one rep. Ask how a contact who gets a LinkedIn step but no email is counted.
G2: 4.6 out of 5 from 1,562 reviews on Reply on G2.
7. Salesforge: a sequencer inside a full infrastructure stack
Salesforge is a cold email sequencer from the company that also sells Mailforge and Infraforge (mailbox and domain setup) and Warmforge (warmup). Buying from one vendor means your inboxes, warmup and sequences sit in one account. It also sells Agent Frank, an AI SDR.
Pricing, from Salesforge pricing: Pro is $40 a month for 1,000 active contacts, 5,000 emails, 1 user and 1 LinkedIn sender. Growth is $80 a month for 10,000 contacts, 50,000 emails, unlimited users and unlimited LinkedIn senders. Both include unlimited mailboxes and premium warmup. Annual billing gives "2 months free." The trial runs 14 days with 100 emails. Agent Frank is $499 a month, billed quarterly, and needs a demo first.
Best for: teams starting from zero who want inboxes, warmup and sequencing set up together.
Watch-outs: A/B testing, the API and CRM integrations are on Growth only, so Pro is thin for a team that tests copy. The 14-day trial caps you at 100 emails, which is too few to judge reply rates.
G2: 4.6 out of 5 from 160 reviews on Salesforge on G2.
8. Klenty: sequences plus a dialer for CRM-driven sales teams
Klenty is a sales engagement tool for teams where reps both email and call. Its higher plans add a click-to-call dialer, voicemail detection, account-based selling and AI call coaching, and it syncs both ways with Salesforce, HubSpot, Pipedrive, Zoho and MS Dynamics.
Pricing, from Klenty pricing: Starter is $50 a month billed yearly, with unlimited users and mailboxes, 15,000 contacts and 75,000 emails a month. Growth is $70 per user a month and adds the dialer (200 minutes), 2,000 data credits, SMS and the CRM plugin. Plus is $99 per user. A power and parallel dialer is $45 per user extra. The page shows monthly billing as an option but only lists yearly prices. The trial is 14 days, capped at 200 emails.
Best for: inside sales teams of 5 to 20 reps who need email and calls logged in the CRM. On Growth, 10 reps cost $700 a month.
Watch-outs: Starter has no CRM plugin, so CRM-led teams are really looking at per-user pricing. It is built for rep-driven sequences more than for high-volume cold email across dozens of inboxes.
G2: 4.6 out of 5 from 397 reviews on Klenty on G2.
9. SmartReach: the lowest entry price, with client dashboards
SmartReach sells two product lines: Email Outreach (cold email only) and Sales Engagement (email, LinkedIn, calls and WhatsApp). It prices by active prospects rather than seats, and includes client dashboards for agencies.
Pricing, from SmartReach pricing: Email Outreach Basic is $29 a month for 1 user, 1,000 prospects, 10,000 emails and 10 warmup accounts. Plus is $89 with unlimited users, 50,000 prospects, unlimited emails and 1 client dashboard. Pro is $199 and Scale is $499. Sales Engagement plans run $39 to $599. The page says yearly billing saves up to 11% but lists no yearly prices. Extra Google or Microsoft mailboxes can be bought for $4 a month each. The trial is 14 days, up to 200 prospects, no card required.
Best for: small agencies that need a cheap login with separate client views, and teams that want to buy inboxes in the same place they send.
Watch-outs: warmup is capped by plan (10 accounts on Basic, 25 on Plus), and the single-login multi-client view and global blocklist are only on Pro and Scale. With 62 G2 reviews, there is less outside evidence than for anything above it.
G2: 4.6 out of 5 from 62 reviews on SmartReach on G2.
What cold email software really costs
The subscription is the smallest line on the bill. To send 10,000 cold emails a month safely, most teams use around 10 to 20 inboxes across several secondary domains, sending 30 to 50 emails per inbox per day. Using SmartReach's published add-on prices as a guide ($4 per mailbox and $5 per domain a month), 15 inboxes on 5 domains is about $85 a month before any software.
Here is a year of software plus that infrastructure for 10,000 to 25,000 emails a month, using monthly prices:
- Instantly Hypergrowth: $97 plus $85 is $182 a month, or $2,184 a year.
- Smartlead Pro: $94 plus $85 is $179 a month, or $2,148 a year.
- Saleshandy Pro: $99 plus $85 is $184 a month, or $2,208 a year.
- lemlist Multichannel for one user: $109 plus $85 is $194 a month, or $2,328 a year.
Then add lead data and verification, which many teams buy from a separate provider, and the hours someone spends writing copy, building lists and watching deliverability. That labor usually costs more than every tool combined.
On results: in our own sending, strong account signals produce about 1 booked meeting per 100 emails, generic targeting closer to 1 per 200, and poor targeting about 1 per 500. At 10,000 emails a month that is anywhere from 20 to 100 meetings. The tool barely moves that number. The list and the reason for reaching out move it. Our cold email statistics break down reply rates by title, company size and email provider.
How to choose cold email software
- Count your inboxes first. If you plan to run 10 or more, pick a tool with unlimited email accounts on the plan you'll buy (Instantly, Smartlead, Salesforge, lemlist's Email plan). Per-inbox pricing gets expensive fast.
- Decide whether you need LinkedIn and calls. If replies in your market come mostly from email, a pure sender is cheaper and simpler. If your buyers live on LinkedIn, lemlist Multichannel or Reply.io saves you a second tool.
- Check the contact cap, not just the email cap. Instantly Growth allows 5,000 emails but only 1,000 uploaded contacts, while Smartlead Base allows 2,000 contacts for 6,000 sends.
- If you're an agency, price the client setup. Smartlead charges $29 per white-label workspace; SmartReach includes 1 client dashboard on Plus and charges $29 for each extra; EmailBison includes unlimited workspaces in its $599 plan.
- If your reps work from Salesforce or HubSpot all day, Klenty's Growth plan or Reply.io fits better than a high-volume sender that only pushes data out.
- Use the trial to test deliverability, not features. Send to a seed list on Google Workspace and Microsoft 365 and see where you land. In our data, companies on Google Workspace replied at 1.35% against 0.29% for Microsoft 365, so inbox placement on Outlook matters.
When to hire an agency instead
Software is the right call when someone on your team will own targeting, copy and deliverability every week. If nobody will, the tool sits idle or burns your domains.
An agency makes more sense when you have an existing sales team that can take meetings, a contract value high enough that a few extra deals pay for the service, and no one with time to test new angles daily. IntentSignal is a B2B cold email agency. We run the sending on domains and mailboxes you own in writing, build AI research agents per client, and programs start at $2,999 a month, month to month. Route got 117 opportunities in one month with us; Gainsight got 90 sales-accepted leads in two months.
We're email-led. If your buyers mostly answer the phone, a phone-first SDR agency fits better, and our cold email agency rankings and cold email agency pricing guide show the options and what they cost. Weighing specific agencies? See our Belkins alternatives and CIENCE alternatives breakdowns.
Book a campaign plan call and we'll show you the accounts and angles we'd start with, or tell you to stick with software.
Frequently asked questions
What is the best cold email software in 2026?
For most teams it is Instantly: unlimited inboxes and warmup on every plan, plans from $47 a month, and 4.8 stars from 4,163 G2 reviews. Agencies should look at Smartlead for white-label client workspaces, and teams that need LinkedIn in the same sequence should look at lemlist.
Which cold email software is cheapest?
SmartReach Email Outreach Basic is $29 a month for 1,000 prospects and 10,000 emails. Saleshandy Starter is $34 a month billed yearly and includes 1,500 lead finder credits. At volume, SmartReach Plus lists unlimited emails for $89 (capped at 50,000 prospects), and Instantly Hypergrowth gives 125,000 emails for $97, about 78 cents per 1,000.
Is EmailBison worth it compared with Instantly or Smartlead?
Only at high volume. EmailBison is $599 a month for 500,000 emails on dedicated IP pools. Instantly Light Speed ($358) and Smartlead Unlimited Prime ($379) cover the same 500,000 sends on cheaper plans. The extra pays for single-tenant infrastructure, which matters most to agencies whose clients share a reputation risk. EmailBison has no free trial and no G2 profile we could find.
Is Instantly or Smartlead better?
Both include unlimited email accounts. Instantly has far more G2 reviews (4,163 against 458) and a higher rating (4.8 against 4.5). Smartlead is cheaper to start ($39 against $47) and has white-label client workspaces, which makes it the usual pick for agencies.
How many inboxes do I need for cold email?
Plan on about one inbox per 30 to 50 emails a day. Sending 10,000 emails a month over about 22 working days is roughly 450 a day, so 10 to 15 inboxes spread across several domains. Warm new inboxes up for a few weeks before sending.
Do these tools include email lists?
Some do. Instantly sells a lead database through separate credit plans, lemlist includes a 650M+ database with finder credits sold as an add-on, and Saleshandy includes lead finder credits on every plan. Smartlead includes monthly verified prospect emails on each plan.
Should I buy cold email software or hire an agency?
Buy software if someone on your team will own lists, copy and deliverability every week. Hire an agency if you have a sales team to take meetings but no one to run outbound. Software costs about $2,000 to $2,500 a year with inboxes; agencies cost far more but include the labor.
