How to Book Meetings with VPs of Customer Success

To book meetings with VPs of Customer Success, write about the number they are judged on, usually gross or net revenue retention, and tie it to something you can see at their company: a new CS leader, a renewal-heavy quarter, a CS ops hire or a reorg that moved expansion onto their team. Keep it short, send it midweek around lunchtime and offer something useful about their book of business rather than a demo. This page is for vendors selling to customer success leaders: CS platforms, analytics, onboarding and adoption tools, support software, training, community and outsourced CS. It covers how CS orgs are built, who signs, what they buy and when, and the emails that work. It draws on our work for Gainsight, which sells to exactly this buyer.

How to Book Meetings with VPs of Customer Success

Quick answer

  • Find out what the VP of CS is measured on before you write. Teams that own renewals or expansion have budget and urgency. Teams measured only on satisfaction scores usually do not.
  • Watch for new CS leaders, CS ops job posts, funding rounds and reorgs. Each one opens a window for new tools or process.
  • Name their stack. Most VPs of CS at mid-size SaaS companies run a CS platform such as Gainsight, ChurnZero, Totango, Vitally or Planhat next to their CRM.
  • Copy in CS operations. At larger companies, the CS ops lead runs evaluations and owns the tools.
  • Send around 1pm on a Thursday, when VPs reply best in our data, and keep email one under 90 words.
  • Expect about 1 meeting per 100 emails with a real signal, and about 1 per 200 without one.

Who actually buys in customer success

Customer success is a young function, and its structure varies a lot. At a Series A SaaS company, the VP of CS might be a former account manager with five CSMs and a support lead. At a public software company, a chief customer officer runs CS, support, professional services, renewals and sometimes account management, with a CS operations team that owns data and tools.

Revenue ownership is the biggest variable. ChurnZero's 2024 Customer Success Leadership Study found that about 40% of CS teams have owned expansion over the past five years, and that only 44% of CS teams were paid on expansion in 2024, down from 57% in 2023. Ask, or work out from job posts, whether the team you are emailing carries a number.

TitleWhat they care aboutHow to approach
Chief customer officerNRR, GRR, cost to serveLead with retention dollars and headcount
VP of customer successChurn, renewals, CSM capacityLead with at-risk revenue and CSM time
Director of CSBook coverage, playbooks, onboardingLead with team workflow and time saved
CS operations leadData, health scores, toolingLead with integrations and data model

Who signs depends on the price and the reporting line. VPs of CS often sign tools up to a budget limit on their own. Larger purchases, such as a CS platform, go through the CRO or CFO and IT or security review. If CS reports to the CRO, expect sales operations to have a say in anything that touches the CRM.

How customer success leaders buy

The systems they live in

The CRM (usually Salesforce or HubSpot) holds accounts and renewals. A CS platform sits on top for health scores, playbooks and success plans, and ChurnZero's study found about 69% of companies with $500M or more in revenue use one. Support tools such as Zendesk or Intercom, product analytics, and billing systems feed in from the side. Anything you sell will be judged on whether it pulls from and writes back to these systems.

AI is on every agenda

The same ChurnZero study found 87% of CS leaders use or plan to use AI, but only 21% have officially adopted it in their CS tech stack. That gap is your opening if you sell AI for CS, and your objection to handle if you do not, since many VPs will ask how your product fits their AI plans.

Training is another gap. The Customer Success Collective's State of Customer Success 2025 report says nearly 70% of CS teams still have no formal enablement, which matters if you sell training, playbooks or coaching to CS orgs.

The calendar

CS leaders plan around the renewal calendar. A quarter with a large share of renewals is a bad time to start a new tool and a good time to talk about risk. Budgets for the next year are usually set in Q3 and Q4. New CS leaders review tools and process in their first 90 days, which is the best window in this market.

Events and communities

Gainsight Pulse is the largest customer success conference. The 2026 event ran May 27 and 28 at Caesars Forum in Las Vegas. The CS100 Summit, hosted by ClientSuccess, is limited to 100 CS leaders and ran September 28 to 30, 2026, in Sundance, Utah. The Customer Success Collective runs summits in cities across the US and Europe through the year. CS leaders are also active in Slack and LinkedIn communities, so many will look you up there before they reply.

Where to find accounts and timing signals

SaaS companies with a named CS function are easy to list from LinkedIn, funding databases and CS platform customer pages. The work is in picking the ones where something just changed.

SignalWhere you see itWhy it matters
New VP of CS or CCOLinkedIn job changeFirst 90 days are for new tools and process
CS operations job postJob boardsThey are building the tooling layer now
Job posts naming a CS platformJob boards (Gainsight admin, etc.)Shows the stack and possible changes
Funding roundFunding newsBoard wants efficient growth and better NRR
Reorg or layoffs in CSLinkedIn posts, newsFewer CSMs per account, need for scale

Public SaaS companies are useful targets because they disclose net revenue retention in earnings reports. A falling NRR figure is about as clear a signal as this market offers.

Messaging that works with VPs of Customer Success

VPs of CS are measured on keeping customers, and they spend their days explaining to the CRO and CFO why renewals went the way they did. An email that helps them tell that story better gets read. An email about features does not.

Angles by persona

  • For VPs of CS who own renewals, talk about at-risk revenue in the next two quarters and how early they spot it.
  • For CCOs, talk about cost to serve and how many accounts each CSM can cover without churn going up.
  • For CS ops, talk about data quality, health score accuracy and how much time the team spends updating fields.
  • For CS leaders without a revenue number, talk about onboarding time and adoption, which they are measured on.

Example email to a new VP of CS

Subject: Halcyon onboarding

Hey Priya, congrats on the new VP of Customer Success role at Halcyon.

New CS leaders usually find onboarding lives in spreadsheets and email threads, so nobody can say which new customers are behind.

We run every onboarding as a shared project plan with the customer, synced to Salesforce, so you see which go-lives are slipping before your first QBR.

Worth 15 min next week?

Follow-up, 2-3 days later: Bumping this. Happy to show what an onboarding plan looks like for a company Halcyon's size.

Example email to a CCO after an earnings call

Subject: Q2 mid-market comment

Hi Daniel, on the Q2 call your CFO said expansion slowed in the mid-market segment.

When we see that, it usually means CSMs in that tier spend their prep time building QBR decks by hand instead of planning expansion.

We build each QBR deck from product and billing data automatically, so your CSMs walk in with the expansion case ready.

Open to a quick call before 2027 planning?

Follow-up, 2-3 days later: Bumping this. Worth a look before the mid-market plan gets locked?

What to avoid

  • Generic lines about customer experience. Every vendor in their inbox uses them.
  • Asking for a demo in email one. Offer a finding or a benchmark instead.
  • Ignoring their CS platform. If you compete with or depend on it, say how you fit.
  • Pitching during the last weeks of a big renewal quarter.

Channels and sequence

CS leaders spend their days on customer calls, so cold calls rarely connect. Email and LinkedIn do most of the work. A sequence we would run:

  1. Day 1: signal-based email to the VP of CS or CCO, sent around 1pm their time on a Tuesday to Thursday.
  2. Day 4: follow-up in the same thread with one useful fact, such as a benchmark from companies their size.
  3. Day 8: email CS ops or a director of CS with a workflow angle.
  4. Day 10: LinkedIn connection with a short note referencing the email.
  5. Before Pulse or a CS Collective summit: invite them to meet in person.

Our cold email statistics show VPs reply best around 1pm on Thursday, and that 82% of positive replies come from email one, so put most of your effort into the first message. Plan for about 1 meeting per 100 emails on a strong signal like a new leader, 1 per 200 on generic messaging and 1 per 500 in a bad case.

Common mistakes when selling to customer success leaders

  • Assuming every VP of CS owns renewals. Many do not, and the pitch has to change when they do not.
  • Selling to the VP when CS ops runs the evaluation, or the other way around.
  • Ignoring the CRO when CS sits inside the revenue org.
  • Using churn statistics from other companies instead of something tied to theirs.
  • Long sequences. CS is a tight community, and over-messaging gets talked about.

Frequently asked questions

How do I get a meeting with a VP of Customer Success?

Email them about a retention or renewal problem tied to a signal at their company, such as a new leader, a CS ops hire or an earnings comment. Keep it under 90 words, offer a finding instead of a demo and send midweek around lunchtime.

Who signs for customer success software?

VPs of CS often sign smaller tools themselves. Larger platforms go through the CRO or CFO plus IT and security review, with CS operations running the evaluation.

Do VPs of Customer Success own revenue?

Some do. ChurnZero's 2024 study found about 40% of CS teams have owned expansion over the past five years, and many own renewals. Check job posts and their LinkedIn profile before you pitch.

When is the best time to email customer success leaders?

In our data, VPs reply best around 1pm on Thursday. Avoid the last weeks of a heavy renewal quarter, and aim for a new leader's first 90 days.

What conferences do CS leaders attend?

Gainsight Pulse is the largest. The CS100 Summit and Customer Success Collective events also draw senior CS leaders.

How many meetings can cold email book with VPs of CS?

Plan for about 1 meeting per 100 emails on strong signals and about 1 per 200 on generic messaging. For Gainsight, we generated 90 sales-accepted leads in two months selling to this audience.
